Job Description

The Mailroom Specialist provides a variety of operational functions, including high-volume duplicating, production, mailing, sorting, and bindery equipment operations, along with copier maintenance and customer site equipment repairs. This role also includes performing reception, housekeeping, file services, and supporting building maintenance tasks. The position reports to the Site Manager, Site Supervisor, or Assistant Site Manager. The ideal candidate should have excellent communication skills and the ability to work in a fast-paced, customer-focused environment.

Primary Responsibilities

  • Operates high-volume copiers and performs binding and finishing work.
  • Ensures convenience copiers are working properly through daily inspections, clears paper jams, and escalates issues to technicians.
  • Performs basic equipment troubleshooting and escalates calls when needed.
  • Sets up equipment (e.g., toner, paper stock) as prescribed by the customer.
  • Scans and/or images documents as needed.
  • May occasionally perform receptionist duties.
  • Maintains records for inventory and management reports.
  • Distributes office supplies, faxes, and mail to designated points within the company.
  • Calculates charges for jobs, maintains logs, and generates reports.
  • Coordinates all service calls required by the customer.
  • Delivers completed jobs to designated customer locations within and outside of the site.
  • Maintains daily meter and service logs.
  • Performs meeting room and conference room setups.
  • May perform light maintenance or cleaning duties.
  • Occasionally handles shipping, receiving, and dock work in a mailroom environment.
  • May require overtime on nights and weekends, including off-hour emergency response.
  • Uses various office equipment such as a shrink-wrap machine, paper cutter, hole driller, and bindery equipment to complete assigned tasks.
  • Ensures data for Ricoh’s MOR, SPG, and job logs are captured.
  • Performs additional duties as assigned.

Required Experience

  • 1-2 years of related work experience.
  • Some related experience in copy services is preferred.
  • Experience with copier and related equipment troubleshooting is advantageous.
  • Knowledge of shipping/receiving procedures is a plus.
  • May require a valid driver’s license and proof of minimum auto insurance coverage, per Ricoh’s policies.

Required Education

  • High school diploma or GED.

Working Conditions

  • Frequent exposure to copier/fax machine noise, toner, and temperature variations.
  • May experience paper cuts while handling paper and opening boxes.
  • Requires walking between buildings, possibly exposed to varying weather conditions.
  • Occasional exposure to location equipment, with some risk of injury or accidents.
  • High stress levels due to tight deadlines and quick turnaround times.
  • Physical demands may include long periods of standing, walking, bending, reaching, stretching, and lifting items weighing up to 50 lbs.
  • May involve pushing or pulling machines weighing up to 400 lbs. for repair purposes.
