Job Description

The Events and Hospitality Support position provides hands-on assistance in a legal office environment, offering various services such as copy production, scanning, mail handling, records support, and hospitality assistance. This role requires strong interpersonal and customer service skills to interact effectively with senior attorneys, clients, and other professionals. The position reports to a Site Manager, Site Supervisor, or Assistant Site Manager.

Primary Responsibilities

  • Assist with legal workflows, including chargebacks for work, supplies, and hours.
  • Work with legal technologies and software, such as document management systems and cost recovery systems (e.g., Copitrak/Equitrac).
  • Manage legal records and documents, including closing binders, depositions, filings, and transcripts.
  • Support scheduling of equipment, labor, and supplies for offsite trials.
  • Operate office equipment, including high-volume copiers, fax machines, postage meters, and bindery equipment.
  • Perform tasks like scanning, file conversion, encryption, and OCR file management.
  • Maintain billing logs and assist in job charge calculations.
  • Distribute incoming mail, packages, and office supplies.
  • Set up and manage conference rooms and office spaces.
  • Assist with light facilities support, including occasional cleaning duties.
  • Handle shipping and receiving tasks and perform filing and archiving duties.
  • Provide support for offsite project coordination and manage customer inquiries.
  • Travel between office locations for deliveries and pickups.

Required Experience

  • Minimum of 1-2 years of relevant work experience.
  • At least 2 years of experience in the legal industry preferred.
  • Strong customer service and communication skills.
  • Basic knowledge of copier equipment repair and shipping/receiving procedures.

Required Education

  • High school diploma or GED required.

Working Conditions

  • Frequent exposure to copier/fax machine noise, toner, and changes in room temperature.
  • Occasional exposure to weather conditions while walking between buildings.
  • Some physical effort required, including lifting up to 50 lbs. and moving machines up to 400 lbs.
  • High-stress levels due to tight deadlines and quick turnaround times.
  • Tasks may involve long periods of standing, walking, bending, and stretching.
