Job Description

The Administrator Dispatcher will proactively review future routes to eliminate potential challenges and create solutions based on customer expectations. This role involves working with sales, scheduling, field service, and inventory control to ensure timely and accurate delivery, pickup, and relocation of equipment. The position offers a salary range of $23.00-$24.00 per hour.

Primary Responsibilities

  • Efficiently route trucks to balance workload and shipping costs while keeping Sales informed.
  • Transmit proper shipping paperwork to the Oracle Repository.
  • Support various business channels and provide backup for the Administrator, Scheduler when applicable.
  • Close out previous day’s routes.
  • Coordinate voicemails and emails between internal and external customers.
  • Check “Not Shipped” in Dispatch Prep to ensure all required units are scanned and loaded daily.
  • Reconcile routes, including aborts and uploading D&As to Oracle.
  • Maintain resource calendar to ensure adequate resources are available.
  • Validate completion of relocation processing.
  • Verify integrity, update, and provide feedback on metrics reporting.
  • Update the Issue Log and validate, publish, print, and finalize routes.
  • Print RMAs/D&As and perform timely ship confirms (MO & Imminent).
  • Coordinate same-day route changes and the requirement of 2+ man teams for deliveries.
  • Decide on cost-effective solutions for overflow routes (3PL carriers).
  • Coordinate directly with customers for paperwork completion.
  • Manage the return of inventory for canceled orders and provide truck ETA’s.
  • Place service calls as required and provide time frame authorizations.
  • Print bills of lading as needed and perform other duties as assigned.

Required Experience

  • Minimum of 1 year customer service experience.
  • Ability to use advanced software tools and proficiency in Microsoft Word and Excel.

Required Education

  • High school diploma or equivalent education.

  • Compliance with facility security and safety rules.

Working Conditions
Typically works in an office environment with adequate lighting, ventilation, and a normal range of temperature and noise levels. Minimal physical effort is required, with the work being mostly sedentary but may involve walking, standing, bending, reaching, and lifting objects weighing less than 10 lbs.
