Job Description

Join our dynamic team as a Hospitality & Office Support Specialist, where you will play a pivotal role in transforming our clients' experience through top-notch operations support in a legal office environment. You will engage with cutting-edge technology in high-volume duplicating, production, sorting, and mailing tasks, ensuring seamless operations and client satisfaction. Whether performing maintenance, troubleshooting, or providing reception services, you will be at the heart of our service delivery.

Primary Responsibilities

Legal Environment Responsibilities:

Understand client matter workflow, including charge backs to firm and/or clients for work, supplies, and hours.

Utilize legal technologies and software (e.g., document management systems, Copitrak/Equitrac).

Manage legal records and documents including closing binders, depositions, transcripts, and filings.

Navigate court systems and ensure proper delivery of legal documents.

Assist in scheduling equipment, labor, and supplies for offsite trials.


General Responsibilities:

  • Operate high-volume 2D/3D print and copy machines with precision and quality.
  • Troubleshoot and escalate equipment issues promptly.
  • Provide excellent customer service, handle inquiries, coordinate service calls, and manage requests.
  • Maintain records, manage inventory, and calculate service charges.
  • Support team operations and building functions, including reception and light maintenance duties.
  • Handle confidential, time-sensitive documents with care.
  • Offer professional-level support to legal staff and executives.
  • Maintain billing logs and assist in charge calculations.
  • Distribute mail, packages, office supplies, and faxes.
  • Manage shipping/receiving, document filing, and archiving tasks.
  • Perform scanning, file conversion, encryption, and FTP tasks.
  • Execute OCR and formatting using MS Office Suite and Adobe Acrobat Pro.
  • Conduct daily copier quality checks and respond to machine errors.
  • Maintain meter logs, stock copier areas, and manage meeting rooms.
  • Assist in office/occupant moves and minor maintenance.
  • Perform cleaning duties and respond to off-hour emergency needs.


Required Experience

  • Minimum of one year of relevant work experience.
  • Experience with copy jobs or related fields preferred.


Required Education

  • High school diploma or GED.


Work Environment

  • Frequent exposure to copier/fax noise, toner, and varying room temperatures.
  • Exposure to weather when traveling between buildings.
  • High-stress situations due to tight deadlines and quick turnarounds.
  • Physical activity includes standing, walking, bending, lifting up to 50 lbs, and pushing/pulling up to 400 lbs.
  • Regular contact with clients, staff, and vendors.
