Job Description & Requirements

The Site Coordinator is accountable for the daily operations of a solo-person site and is responsible for performing various office services including, but not limited to, Copy Services, Courier Services, Managed Print Services, Hospitality, Imaging, and Mail Services. The role includes responsibilities such as reception services, visitor processing, conference/meeting support, catering services, and light facilities support. The ideal candidate will have at least 1 year of experience in a related field and a customer-facing role.

Primary Responsibilities:

  • Reception Services:

    • Answer calls within three rings and handle queries efficiently.
    • Greet visitors and colleagues in the reception area.
    • Manage emails and provide additional administrative support as required.
    • Maintain confidentiality and integrity.
  • Visitor Processing:

    • Register visitors with building security portal.
    • Ensure visitors sign-in and notify colleagues or meeting organizers of their arrival.
    • Assign security cards and maintain inventory.
  • Conference / Meeting Support (Hospitality):

    • Support meetings with 4 to 100+ attendees.
    • Provide support for conference rooms, including troubleshooting AV equipment.
  • Catering Support Services (Hospitality):

    • Place catering orders based on requests from meeting hosts and administrative assistants.
    • Process and code catering invoices.
  • Facilities Support:

    • Provide light facilities support including ticket routing and escalation.
    • Close service tickets as needed.
  • Other Duties:

    • Handle operations of the mail room, copy center, and scanning facility.
    • Operate office equipment such as PCs, copiers, multifunction devices, and mail equipment.
    • Maintain customer relationships and ensure the delivery of high-quality service.

Required Experience:

  • 1+ years of experience in a related field (B2B and/or technical).
  • 1+ year of customer-facing work experience.
  • Previous experience with technology and customer service.

Required Education:

  • High school diploma or GED.

Knowledge, Skills, and Abilities:

  • Tactical thought processing.
  • Ability to present to small groups.
  • Moderate problem-solving skills.
  • Basic customer service and technical aptitude.
  • Basic written and verbal communication skills.

Working Conditions:

  • Typically an office environment with adequate lighting, ventilation, and a normal range of temperature and noise levels.
  • Some physical effort required, including walking, standing, bending, reaching, and lifting objects up to 50 lbs.
  • Moderate dexterity and regular use of basic skills such as typing and using hand tools.
