Job Description & Requirements

The Office Operations Supervisor is responsible for supervising day-to-day operations at a legal office site. This includes overseeing a team of 1 to 3 people, providing developmental support, and ensuring compliance with procedures. The Supervisor will also handle billing, provide customer service, and support office functions like copy, production, scanning, fax, mail, hospitality, and facilities management. The role involves interacting with senior-level legal professionals and ensuring smooth operation within a legal environment.

Primary Responsibilities

  • Supervise daily operations at the office site, including managing staff and providing employee developmental support.
  • Ensure compliance with office procedures and improve operational efficiencies.
  • Provide excellent customer service, handling issues related to clients, partners, and staff.
  • Manage tasks like document management, billing, and invoicing based on client requirements.
  • Assist with office functions such as copy, scanning, mail, hospitality, conference room setup, and receptionist backup.
  • Ensure profitability through the effective management of labor, materials, and supplies.
  • Manage payroll accuracy and oversee time clock punches for staff.
  • Maintain productivity and quality standards through effective scheduling and performance reviews.
  • Support training on office workflows, machine operations, and legal software.
  • Handle highly confidential legal documents and ensure compliance with legal standards and deadlines.
  • Resolve customer issues and maintain positive internal relationships with all employees.

Required Experience

  • Minimum 2 years of experience in a related field, with at least 2 years in the legal industry strongly preferred.
  • Experience with legal document management systems, cost recovery systems (e.g., Copitrak/Equitrac), and legal records management processes.
  • Experience working with various legal departments, such as criminal, civil, corporate, or intellectual property law, is a plus.
  • Proficiency in Microsoft Word, Excel, PowerPoint, Adobe (PDF), and legal software.
  • Experience delivering training, both formal and informal.
  • Experience operating advanced office machinery for complex tasks is preferred.

Required Education

  • High school diploma or GED is required.

Working Conditions

  • Office environment with adequate lighting, ventilation, and a normal range of temperature and noise levels.
  • Requires some physical effort, including walking, standing, bending, reaching, and lifting or carrying objects up to 50 lbs. (e.g., papers, files).
  • Moderate dexterity required for tasks involving basic skills (e.g., calculator, keyboard, hand tools).
