Job Description & Requirements
The Dispatcher is responsible for proactively reviewing future delivery routes to identify potential challenges and develop solutions that align with customer expectations. This role requires collaboration with sales, scheduling, field service, inventory control, and other departments to ensure timely and accurate equipment deliveries, pickups, and relocations. The Logistics Coordinator utilizes advanced scheduling software to provide customers with available service windows.
Primary Responsibilities
- Efficiently route trucks to balance workload, minimize shipping costs, and ensure accurate documentation in Oracle Repository.
- Support various business channels and serve as a backup for the Administrator and Scheduler as needed.
- Close out previous day’s delivery routes and reconcile any discrepancies.
- Manage voicemail and email communications between internal and external customers.
- Ensure all required units have been scanned and loaded daily by checking the Dispatch Prep "Not Shipped" list.
- Reconcile routes, including handling aborts and uploading Delivery & Acceptance (D&A) forms to Oracle.
- Maintain and update the resource calendar to ensure proper staffing and resources.
- Process relocations and validate completion.
- Verify data integrity, update, and provide feedback on metrics reporting.
- Maintain and update the Issue Log for tracking and reporting purposes.
- Validate, publish, print, and finalize route schedules.
- Print Return Merchandise Authorizations (RMAs) and Delivery & Acceptance (D&As) forms.
- Forecast and coordinate truck fleet resources based on demand.
- Perform ship confirmations (Manufacturing Orders & Imminent).
- Coordinate same-day route changes and surprise pickups.
- Determine when a two-person delivery team is required for larger equipment.
- Make cost-effective decisions regarding overflow routes using third-party logistics (3PL) carriers.
- Work directly with customers to ensure accurate paperwork for deliveries and returns.
- Manage inventory returns for canceled orders and ensure proper documentation.
- Monitor and update Estimated Time of Arrival (ETA) for trucks.
- Place service calls as required to address equipment issues.
- Provide timeframe authorizations for service requests.
- May require printing bills of lading (BOLs).
- Perform other duties as assigned.
Required Experience
- Minimum of 1 year of customer service experience.
- Experience using advanced scheduling software.
Required Education
- High school diploma or equivalent required.

- Strong problem-solving skills to resolve logistics issues efficiently.
- Ability to interact professionally at all levels, internally and externally.
- Proficiency in Microsoft Office (Word, Excel).
- Ability to work in a team-oriented environment.
- Strong attention to detail to ensure compliance with facility security and safety rules.
Work Environment
- Office environment with adequate lighting, ventilation, and normal temperature/noise levels.
- Work assignments are diversified, requiring the ability to interpret, comprehend, and apply complex material, data, and instructions.
- Minimal physical effort required—work is mostly sedentary but includes walking, standing, bending, reaching, and lifting objects up to 10 lbs (e.g., papers, books, files, small parts).
- Moderate dexterity required for regular application of basic office skills (e.g., keyboard, calculator, eye-hand coordination).
