Job Description & Requirements

The Legal Office Team Lead supervises the day-to-day operations of a small team (1 to 3 persons) within a legal office environment. This role reports to the Account Manager and focuses on employee development, managing office procedures, ensuring compliance, and addressing customer needs. The Team Lead also manages office functions such as copy production, scanning, shipping, and hospitality, and is responsible for ensuring profitability, meeting customer requirements, and resolving any operational issues. Experience in the legal industry, strong interpersonal skills, and knowledge of legal office operations are essential for success in this role.

Primary Responsibilities

  • Supervise daily office operations, including copy, production, scanning, fax, mail, shipping, hospitality, and facilities support.
  • Serve as the point of contact for customer issues and provide resolutions.
  • Assist with scheduling equipment, labor, and supplies for offsite trials.
  • Manage the RICOH Service Excellence methodology and ensure effective implementation.
  • Oversee and ensure payroll accuracy, monitor time clock punches, and correct any discrepancies.
  • Provide training on workflows and machine operations.
  • Facilitate accurate and timely invoicing, charge-backs, and compliance with client billing needs.
  • Ensure quality and deadline standards are met by managing staff and resources efficiently.
  • Maintain accurate records and reports, including site productivity, quality, and financial reports.
  • Handle highly confidential, time-sensitive documents with discretion.
  • Supervise and provide regular performance reviews to direct reports.
  • Ensure smooth daily operations and resolve issues regarding pricing, orders, and invoicing.

Required Experience

  • Minimum of 2 years of experience in a related field.
  • Strongly preferred: 2+ years of experience in the legal industry, including familiarity with legal documents, processes, and software such as Copitrak and Equitrac.
  • Experience with various types of law (e.g., criminal, civil, corporate, intellectual property) is preferred.
  • Preferred proficiency in legal software and Microsoft Office Suite (Word, Excel, PowerPoint, Adobe PDF).
  • Preferred experience in training or delivering instructional sessions.
  • Preferred experience in operating advanced office machinery and performing complex tasks.

Required Education

  • High School diploma or GED required.

Work Environment

  • Typically an office environment with adequate lighting, ventilation, and a normal range of temperature and noise levels.
  • Some physical effort required, including walking, standing, bending, reaching, and carrying objects up to 50 lbs. (e.g., papers, books, files).
  • Moderate dexterity required, with regular use of basic skills (keyboard, hand tools).
