Job Description & Requirements
The Legal Senior On‑Site Service Specialist oversees high‑volume print, scan, mail, and records services for a law‑firm client. The role manages charge‑backs, court‑document logistics, and executive‑level support while protecting confidentiality and ensuring regulatory compliance.
Primary Responsibilities

Operate and troubleshoot 2D/3D print, copy, finishing, mailing, and scanning devices; perform OCR, file conversion, encryption, FTP transfers, and electronic TOC management.

Manage legal workflows—charge‑backs (Copitrak/Equitrac), records processes, court‑document delivery, and off‑site trial scheduling (equipment, labor, supplies).

Maintain billing, meter, inventory, and service logs; calculate service charges and verify cost‑recovery accuracy.

Distribute mail, packages, office supplies, and finished jobs; oversee shipping/receiving, records archiving, and conference‑room coordination.

Provide professional support to attorneys, paralegals, and firm administration; handle time‑sensitive confidential documents.

Keep copier areas neat and stocked; perform daily quality checks and escalate complex technical issues.

Assist with meeting‑room setups, facilities moves, reception coverage, and occasional after‑hours emergencies.

Uphold safety protocols and mentor teammates on best practices.
Required Experience
-
Background in high‑volume copy/production or office services.

1 + year in a legal environment strongly preferred.

Strong customer‑service, communication, and problem‑solving skills; proficiency with Microsoft Office.

Nice to have: basic copier‑repair skills, familiarity with legal software, valid driver’s license with insurance.
Required Education
-
High‑school diploma or GED (Ricoh Legal training to be completed within 90 days of hire).
Work Environment
-
Law‑firm office with copier/fax noise, toner exposure, and variable temperatures.

Regular standing, walking, bending, and lifting up to 50 lbs; pushing/pulling wheeled loads up to 400 lbs.

Fast‑paced, deadline‑driven atmosphere; occasional travel between buildings and overtime (nights/weekends).
