Job Description & Requirements

 The Legal Office Support role provides hands-on assistance within a legal office environment. The position involves tasks such as document management, customer service, and office support. A Senior Legal Onsite Service Specialist is expected to have excellent interpersonal and communication skills, particularly when interacting with senior attorneys, clients, and staff. This position may require periodic overtime and is ideal for someone with a background in the legal field.

Primary Responsibilities:

  • Assist in legal office tasks such as copy production, scanning, faxing, mailing, and shipping.
  • Support records management and the scheduling of necessary equipment, labor, and supplies for trials.
  • Operate various office equipment including copiers, binders, and file management systems.
  • Handle confidential and time-sensitive documents, ensuring accuracy and confidentiality.
  • Perform customer service duties, ensuring quality service for legal assistants, partners, and other staff.
  • Maintain logs for billing and manage inventory and office supplies.
  • Manage document conversion, file encryption, and OCR processes.
  • Assist with facilities tasks, such as light maintenance and room setup.
  • Provide support to various legal teams and assist with off-site project coordination.
  • Perform occasional deliveries, pickups, and handle shipping and receiving duties.
  • Follow safety protocols and respond to equipment malfunctions.

Required Experience:

  • Minimum 2 years of experience in the legal industry preferred.
  • Strong customer service, communication, and interpersonal skills.
  • Experience with document management systems and cost recovery systems (e.g., Copitrak/Equitrac) is beneficial.
  • Knowledge of shipping/receiving processes and legal document flow (e.g., briefs, filings, discovery).

Required Education:

  • High school diploma or GED required.
  • Additional training or certifications in legal office practices are a plus.

Working Conditions:

  • Frequent exposure to copier/fax machine noise, toner, and changes in room temperature.
  • Physical demands include standing, walking, bending, and lifting up to 50 lbs.
  • Exposure to various weather conditions when walking between buildings.
  • High stress due to tight deadlines and quick turnaround times.
  • Occasional overtime may be required, including nights and weekends.
