Job Description & Requirements

Coordinates all business activities after an order is scheduled for delivery. Utilizes advanced scheduling software to monitor delivery processes, communicate status updates, assign drivers, and address any exceptions or discrepancies that arise.

Primary Responsibilities

  • Coordinate tasks with the Support Representative II, Scheduler, and perform scheduling duties as needed.

  • Monitor and respond to regional email communications.

  • Print and distribute Delivery & Acceptance (D&A) and Return Merchandise Authorization (RMA) forms for drivers.

  • Review delivery routes for logic and adjust sequencing when necessary.

  • Confirm daily shipments in Oracle.

  • Place manual installation calls for third-party transactions.

  • Send delivery paperwork to Ricoh transfer centers and carrier partners.

  • Assign drivers and publish routes to mobile devices.

  • Close out 3PL (third-party logistics) routes.

  • Scan and upload signed customer documents (D&A and RMA) into Oracle.

  • Update issue logs and reconcile route data post-delivery, including abort notifications.

  • Adjust system settings for line haul, truck, and driver availability.

  • Coordinate and reconcile inventory cycle counts at RFC/transfer centers.

  • Assist in truck loading/unloading and verify equipment when necessary.

  • Perform additional tasks as assigned.

Required Experience

  • Minimum of one year of Ricoh scheduling experience or equivalent.

  • Proficiency in advanced software tools and Microsoft Word/Excel.

Required Education

  • High school diploma or equivalent required.

Work Environment

  • Office setting with standard lighting, ventilation, temperature, and noise levels.

  • Work involves interpreting and applying complex data and procedures.

  • Minimal physical activity including walking, standing, bending, and lifting items typically under 10 lbs.

  • Moderate dexterity required for frequent use of basic office tools such as calculators, keyboards, and staplers.
