Job Description & Requirements
This role provides direct hands-on support within a legal office environment, including responsibilities such as copying, scanning, mail handling, hospitality, records support, and light facilities work. The specialist will interact with senior attorneys, partners, clients, and other legal professionals, requiring high-level customer service, professionalism, and presentation skills. The position reports to a Site Manager, Site Supervisor, or Assistant Site Manager.
Primary Responsibilities:
Legal Support Tasks:

Understand legal workflow, including chargebacks and records management.

Use legal software like Copitrak/Equitrac and document management systems.

Manage legal documents such as briefs, depositions, court filings, and closing binders.

Support trial prep logistics, including equipment and supply coordination.
Office & Administrative Tasks:

Provide high-level support to legal assistants, paralegals, attorneys, and staff.

Operate copy/fax/postage equipment and maintain quality control for document production.

Handle scanning, file conversions, document encryption, OCR, FTP, and file formatting tasks.

Maintain logs for billing, inventory, and project tracking.

Distribute mail, supplies, and completed work throughout the office or to external locations.

Provide receptionist backup and assist in conference room setup and scheduling.
Technical & Facilities Support:

Perform quality checks on convenience copiers and resolve basic equipment issues.

Stock copier areas and ensure workspace cleanliness.

Assist with box/office moves and perform light maintenance or cleaning.

May require overtime, including nights, weekends, or off-hour emergency support.
Required Experience:
-
1–2 years of related work experience required.
-
At least 2 years of experience in the legal industry preferred.

Experience with customer service and office equipment operations.
Required Education:

High school diploma or GED required.

Valid driver's license and insurance may be required depending on role responsibilities.
Work Environment:
-
Frequent exposure to copier noise, toner, and changing room temperatures.
-
Physical demands include lifting/moving up to 50 lbs and pushing equipment up to 400 lbs.

Requires walking, standing, bending, and other physical tasks for extended periods.

Contact with internal staff and external clients in a high-pressure, fast-paced environment.

Exposure to varied weather conditions when traveling between buildings.
