Accountable for daily operations of a solo-person site. Responsible for performing contracted office services including, but not limited to:

• Copy Services
• Courier Services
• Managed Print Services
• Hospitality
• Imaging
• Mail Services
• Reception
• Conference Center & Catering Support

• Manage daily operations of a mailroom, copy center, or scanning facility
• Operate office equipment including PCs, copiers, multifunction devices, imaging, and mail equipment
• May be responsible for:
  • Courier services
  • Reception services
  • Switchboard operations
  • Shipping and receiving
  • Mail delivery and processing
• Serve as the primary contact for customers on a daily basis
• Implement and manage Ricoh Service Excellence Programs
• Efficiently operate required equipment/software to meet service level agreements
• Achieve cost-efficiency by effectively utilizing company materials and supplies
• Maintain routine functions such as:
  • Creating/completing work orders
  • Monitoring contractors
  • Conducting inspections
  • Reporting facility-related issues
  • Providing support as needed
• Interact with contracted vendors, facility management, and occupants
• Manage office supply inventory and reordering
• Coordinate conference rooms and manage A/V equipment resources
• Foster positive internal working relationships through professional communication
• Collect and provide data to leadership and customers, including monthly reports
• Ensure financial responsibilities are met
• Perform other duties as assigned

• Serve as the front-of-house representative, greeting guests and transferring call center calls
• Manage meeting room bookings and setups, including equipment and refreshments
• Maintain housekeeping standards and inventory for conference rooms
• Coordinate catering and special equipment needs
• Perform daily checks on meeting room equipment and environment

• Support facilities processes and tools; escalate issues as needed
• Monitor service requests and maintain office cleanliness and organization
• Coordinate desk moves and manage pantry/office supply inventory
• Assist with new hire orientation and escalate concerns to Facilities Lead

• Handle incoming/outgoing USPS and accountable mail, including digital tracking and recipient notifications
• Ensure proper chain of custody for deliveries and assist with messenger services
• Maintain awareness of USPS pickup schedules

• Stock pantries and manage office supplies
• Support badge creation
• Troubleshoot printers and assist with workstation setups/moves
• Maintain conference rooms and training spaces, including light cleaning and carpet maintenance
• Provide basic AV/IT support and escalate technical issues appropriately

Required:

• High school diploma or GED
• 1+ years of experience in a related field (B2B and/or technical)
• 1+ year of customer-facing experience
• Demonstrated knowledge and understanding of technology

• Tactical thinking and problem-solving skills
• Ability to present to small groups
• Moderate problem-solving capabilities
• Basic customer service and technical aptitude
• Strong written and verbal communication skills

• Office environment with adequate lighting, ventilation, and typical noise levels
• Diverse work assignments requiring interpretation and application of complex information
• Some physical effort required:
  • Walking, standing, bending, reaching, lifting, or carrying objects up to 50 lbs
• Moderate dexterity required for regular use of tools and equipment (e.g., calculator, keyboard, hand tools)
