Job Description & Requirements
The Senior Legal Onsite Service Specialist provides direct, hands-on support within a legal office environment. Responsibilities span document production, scanning, faxing, mail handling, records management, hospitality, conference room coordination, receptionist backup, and light facilities support. This role demands a high level of professionalism, customer service, and communication to interact with attorneys, clients, and staff. Reports to a Site Manager, Site Supervisor, or Assistant Site Manager.
Primary Responsibilities

Support legal workflows including chargebacks, document management systems, and records processes.

Operate high-volume copiers, fax machines, postage meters, and related equipment.

Assist with legal documents such as filings, depositions, transcripts, and court deliveries.

Schedule and prepare equipment and logistics for offsite trials.

Provide support to attorneys, paralegals, and firm staff with various office services.

Handle confidential and time-sensitive materials with accuracy.

Distribute mail/packages and deliver reproduction work to designated areas.

Perform file archiving, scanning, OCR, file formatting, and electronic document management tasks.

Maintain copier areas, troubleshoot equipment, and perform routine maintenance.

Manage conference room setup and support internal moves.

Conduct light cleaning and maintenance as needed.

Participate in emergency response and occasional off-hour work.

Complete other duties as assigned.
Required Experience
-
1–2 years of related office support experience required.

Minimum of 2 years’ experience in a legal environment preferred.
Required Education
-
High school diploma or GED required.
Work Environment
-
Frequent exposure to copier noise, toner, and varying room temperatures.
-
Physical requirements include prolonged standing, walking, bending, and lifting up to 50 lbs., with occasional movement of equipment up to 400 lbs.

Potential exposure to weather when moving between buildings.

Fast-paced, high-pressure environment due to tight deadlines and confidential tasks.

Regular interaction with staff, clients, and vendors via phone and in person.
