Job Description & Requirements

This role provides direct hands-on support within a legal office environment, handling various office tasks such as copying, scanning, faxing, mail/shipping, records support, and more. The position requires high-level customer service, interpersonal etiquette, and the ability to effectively communicate with senior-level attorneys, clients, and other key stakeholders. This role reports directly to a Site Manager, Site Supervisor, or Assistant Site Manager.

Primary Responsibilities

  • Understand client matter workflow, including chargebacks to the firm and/or clients for work, supplies, hours, etc.
  • Familiarity with legal technologies and software such as document management systems and cost recovery/chargeback systems (e.g., Copitrak/Equitrac).
  • Knowledge of legal records management processes and legal documents such as closing binders, depositions, and court filings.
  • Assist with scheduling offsite trial support and coordination.
  • Provide professional-level support to legal assistants, project managers, partners, and others.
  • Operate high-volume copiers, fax services, postage meters, and personal computers.
  • Respond to customer inquiries and track time needed for task completion.
  • Perform scanning, file conversions, OCR tasks, and file formatting for printing.
  • Coordinate offsite projects and maintain logs for billing and inventory.
  • Handle shipping/receiving and file management tasks, including archiving and purging old documents.
  • Ensure high-quality reproduction of materials and maintain copier functionality.
  • Provide support for office moves, light maintenance duties, and facilities assistance as needed.
  • Perform other duties as assigned.

Required Experience

  • 1-2 years of related office services experience required.
  • Minimum of 2 years of experience in the legal industry preferred.
  • Experience with copiers, fax services, and related office equipment preferred.
  • Strong customer service and communication skills.
  • Experience with document management and cost recovery systems is a plus.

Required Education

  • High school diploma or GED required.

Working Conditions and Physical Demands

  • Frequent exposure to copier/fax machine noise, toner, and fluctuating room temperatures.
  • Exposure to paper cuts and occasional physical effort such as lifting items up to 50 lbs.
  • Walking between buildings may be required.
  • Some physical labor required, including standing, bending, stretching, and climbing.
  • High-stress environment due to tight deadlines and quick turnaround times.
  • Some overtime required, including nights and weekends.
