Job Description & Requirements
The Senior Legal Onsite Service Specialist provides direct, hands-on support in a legal office setting. This multifaceted role includes responsibilities such as document production, scanning, mail and shipping, records management, conference room setup, receptionist backup, and light facilities support. The position requires exceptional professionalism and interpersonal skills to engage effectively with attorneys, clients, and office personnel. Reports to a Site Manager, Site Supervisor, or Assistant Site Manager.
Primary Responsibilities

Support legal workflows including chargebacks, document management systems, and legal records processes.

Operate high-volume copier and office equipment (fax, postage meters, etc.).

Handle legal documents (e.g., filings, depositions, closing binders) and manage deliveries to court systems.

Coordinate equipment, labor, and supplies for offsite trials.

Deliver accurate and professional-level support to attorneys, paralegals, and administrative staff.

Manage confidential/time-sensitive materials and ensure quality production output.

Execute mail distribution, shipping/receiving, and supply delivery.

Perform document scanning, OCR, file conversion, and electronic formatting.

Monitor and maintain copier areas; perform troubleshooting and minor repairs.

Maintain logs for billing, inventory, and daily operations.

Set up and maintain conference rooms; assist with office and occupant moves.

Perform light maintenance and participate in after-hours emergency support as needed.

Carry out additional duties as assigned.
Required Experience
-
1–2 years of related office support experience required.

Minimum of 2 years’ experience in a legal environment preferred.
Required Education
-
High school diploma or GED required.
Work Environment
-
Exposure to copier noise, toner, and temperature changes.
-
Regular physical effort, including lifting up to 50 lbs. and pushing up to 400 lbs.

Standing, walking, bending, and stretching for extended periods.

May include walking between buildings in varying weather conditions.

Fast-paced environment with tight deadlines and quick turnaround tasks.

Frequent interaction with customers, legal personnel, and vendors.
