Job Description & Requirements
The Route Coordinator is responsible for proactively reviewing future delivery routes to eliminate potential challenges and create solutions based on customer expectations. This role involves coordinating with sales, scheduling, field service, inventory control, and other functional areas to ensure timely and accurate delivery, pickup, and relocation of equipment. The Route Coordinator utilizes advanced scheduling software to provide customers with available time windows that meet their needs.
Primary Responsibilities
- Optimize truck routing to balance workload and shipping costs while keeping Sales informed.
- Support various business channels and provide backup assistance to the Administrator and Scheduler when necessary.
- Close out previous day’s routes and verify shipments in the Dispatch Prep system.
- Reconcile routes, including updating aborts and uploading delivery acknowledgments to Oracle.
- Maintain resource calendar to ensure adequate staffing and truck availability.
- Process relocations and validate completion.
- Update and maintain route performance metrics and logs.
- Forecast and coordinate truck fleet resources.
- Execute ship confirmations and address last-minute route changes.
- Ensure proper handling of large production machine deliveries that require two or more personnel.
- Determine cost-effective solutions for overflow routes, including using third-party logistics carriers.
- Coordinate directly with customers to ensure completed paperwork is signed and dated accurately.
- Manage returns for cancelled orders and provide truck ETA updates.
- Place service calls as needed and provide time frame authorizations.
- Print bills of lading and other required documentation when necessary.
- Perform other duties as assigned.
Required Experience
- Minimum of 1 year of customer service experience.
- Experience using advanced software tools for scheduling and logistics preferred.
- Proficiency in Microsoft Word and Excel.
Required Education
- High school diploma or equivalent required.

Work Environment
- Office environment with adequate lighting, ventilation, and normal temperature and noise levels.
- Diverse work assignments requiring interpretation and application of complex information.
- Minimal physical effort required, but may involve walking, standing, bending, reaching, and lifting objects under 10 lbs (e.g., files, books, small parts).
- Regular use of office tools, such as a calculator, keyboard, and basic hand tools.
