Job Description & Requirements
Oversee a 1‑ to 3‑person Ricoh legal‑office site, blending hands‑on workflow management, employee development, and executive‑level client interaction to deliver compliant, cost‑effective, high‑quality services for attorneys and staff.
Primary Responsibilities
-
Legal‑workflow management – control charge‑backs, cost‑recovery systems (Copitrak / Equitrac), records processes, and production of briefs, filings, transcripts, discovery, and trial materials.

Leadership & client relations – act as primary contact for partners and senior attorneys; resolve issues, coach and mentor site staff, and safeguard confidentiality.

Operational & financial oversight – apply Ricoh Service Excellence; schedule labor/equipment, meet SLA, quality, and deadline targets; monitor payroll, inventory, and P&L; prepare monthly financial reports/invoices.

Service expansion & improvement – analyze workflow, recommend additional offerings, and drive continuous‑improvement projects that enhance client operations and profitability.

Administrative & technical support – supervise reception, mail, conference‑room scheduling, facilities, and supply functions; operate and train others on advanced office equipment.
Required Experience
-
2 + years’ experience in a legal‑services, records, or site‑operations role (legal industry strongly preferred).

Proven record leading small teams and serving executive‑level customers.

Familiarity with multiple legal practice areas and document‑management software.
Required Education
-
High‑school diploma or GED (college coursework a plus).
Work Environment / Working Conditions

Professional office setting with normal lighting, temperature, and noise.

Regular walking, standing, bending, and lifting or carrying items up to 50 lbs; frequent use of computers and office machinery.
