Job Description & Requirements
The Senior Legal Onsite Service Specialist provides direct hands-on support within a legal office environment. This role includes office support tasks such as copying, production, scanning, faxing, mail and shipping, records support, floor support, hospitality assistance, conference room setup, receptionist backup, and light facilities support. The position requires excellent presentation skills, interpersonal etiquette, and customer service skills to interact effectively with attorneys, clients, vendors, and staff.
Primary Responsibilities
Legal Environment Responsibilities:
- Understand client matter workflows, including chargebacks for work, supplies, and billable hours.
- Utilize legal document management systems and cost recovery/chargeback software (e.g., Copitrak/Equitrac).
- Manage legal records and documentation such as closing binders, depositions, transcripts, briefs, and court filings.
- Ensure proper handling and delivery of legal documents within the court system.
- Assist with scheduling equipment, labor, and supplies for offsite trials.
General Office Responsibilities:
- Operate high-volume copy machines, fax machines, and postage meters.
- Handle time-sensitive and confidential legal documents.
- Perform high-quality reproduction, scanning, and project work.
- Manage billing logs, inventory tracking, and supply orders.
- Handle mail distribution, package deliveries, and office supply inventory.
- Perform scanning, file conversion, file naming, encryption, and OCR (Optical Character Recognition) tasks.
- Support conference room setups, office moves, and light maintenance duties.
- Conduct daily equipment checks, troubleshoot copier issues, and maintain service logs.
- Respond to urgent service requests, including occasional overtime, weekends, and emergency responses.
- Perform additional duties as assigned.
Required Experience
- 1-2 years of related work experience required.
- Minimum of 2 years’ experience in the legal industry preferred.
- Strong customer service, communication, and organizational skills.
Required Education
- High school diploma or GED required.
Work Environment
- Frequent exposure to copier/fax machine noise, toner, and temperature changes.
- Possible exposure to various weather conditions when traveling between buildings.
- High-pressure environment with tight deadlines and quick turnaround times.
- Physical activity required, including standing, walking, bending, reaching, and lifting up to 50 lbs.
- Moving equipment on wheels, weighing up to 400 lbs.
- Occasional work outside regular business hours, including nights and weekends.
Salary Range
$17.69 - $23.00
