Job Description & Requirements

This Food and Event Services Associate position ensures high-quality food and beverage setup/service for clients while facilitating smooth conference and function services. The role involves setting up and breaking down conference rooms, maintaining cleanliness, and handling high-volume duplicating, production, and mailing tasks. This position requires excellent customer service skills and the ability to thrive in a fast-paced environment.

Primary Responsibilities

Hospitality Services

  • Provide excellent and professional client service.
  • Lead in coordinating meeting rooms and events.
  • Train team members on tasks and responsibilities.
  • Set up and break down conference rooms, including furniture, catering, and refreshments.
  • Perform waiting and service duties for food and beverages.
  • Follow hygienic food and beverage handling procedures.
  • Assist in cleaning kitchen and function areas as directed.
  • Manage conference/hospitality calendar and greet clients and guests.
  • Conduct conference room sweeps (adjusting chairs, wiping down tables, stocking supplies, etc.).
  • Set up and assemble flip charts, whiteboards, and cork boards.
  • Maintain and clean kitchen equipment (coffee machines, refrigerators, etc.).
  • Order and track inventory for supplies and food.
  • Perform cleaning duties in the office or building (trash removal, dusting, sweeping, mopping, etc.).
  • Perform other job duties as assigned.

Operations Support

  • Operate high-volume print and copy machines, ensuring quality and efficiency.
  • Troubleshoot equipment and escalate technical issues.
  • Provide customer service by addressing inquiries and coordinating job requests.
  • Maintain records, manage inventory, and calculate charges for services.
  • Assist with meeting room setups, light maintenance, and reception duties as needed.
  • Follow safety protocols when handling equipment and materials.

Required Experience

  • High school diploma or GED.
  • Minimum of one year of relevant work experience.
  • Proficiency in MS Office Suite.
  • Strong communication skills and the ability to work in a fast-paced environment.

Working Conditions

  • Typically works in a professional office environment with adequate lighting, ventilation, and a normal range of temperature and noise levels.
  • Requires internal contact within the department and external contact with customers, agencies, vendors, and the public.
  • Physical effort required includes walking, standing, bending, reaching, lifting, or carrying objects up to 75 lbs (e.g., office furniture, equipment, supplies).
  • Walking and pushing a 30-pound cart to specific rooms.
  • Ability to walk or stand for long periods.
  • Requires moderate dexterity and basic skills in office equipment and minor maintenance.
