Job Description & Requirements
The Senior Legal Onsite Service Specialist provides direct hands-on office support within a legal environment. This role encompasses a wide range of tasks including copying, scanning, mail and shipping, records management, hospitality, reception backup, and light facilities assistance. A high level of professionalism and interpersonal skills is required to interact with senior attorneys, clients, and office personnel. The position reports to a Site Manager, Site Supervisor, or Assistant Site Manager.
Primary Responsibilities

Support legal-specific workflows including chargebacks, document management systems, and records processes.

Operate high-volume copiers, fax machines, postage meters, and related office equipment.

Assist with legal documentation such as closing binders, filings, and court-related deliveries.

Schedule equipment and coordinate support for offsite legal trials.

Provide professional support to attorneys, paralegals, legal assistants, and other staff.

Handle time-sensitive and confidential documents accurately and professionally.

Perform mail distribution, shipping/receiving, supply delivery, and file archiving.

Conduct document scanning, file conversions, and FTP file transfers.

Perform OCR and formatting for electronic files, including creating tables of contents.

Monitor copier functionality, troubleshoot equipment, and perform daily quality checks.

Maintain logs for billing, supplies, and service issues.

Set up and maintain conference rooms; support occupant and office moves.

Perform light maintenance and cleaning duties.

Participate in off-hour emergency response and occasional overtime.

Perform other duties as assigned.
Required Experience
-
1–2 years of related work experience required.
-
Minimum of 2 years’ experience in the legal industry preferred.
Required Education
-
High school diploma or GED required.
Work Environment
-
Exposure to copier/fax machine noise, toner, and varied room temperatures.
-
Frequent physical activity including standing, walking, bending, lifting up to 50 lbs., and pushing machines up to 400 lbs.

Potential exposure to weather when walking between buildings.

High-stress environment due to tight deadlines and quick turnaround expectations.

Regular interaction with customers, coworkers, and vendors via phone and in person.
