Job Description & Requirements

The Site Coordinator is responsible for managing the daily operations of a solo-person site, ensuring smooth workflow and service delivery. This role involves performing a variety of contracted office services, including Copy Services, Courier Services, Managed Print Services, Hospitality, Imaging, and Mail Services. The Site Coordinator serves as the main point of contact for customers, ensuring high service standards and operational efficiency.

Primary Responsibilities

  • Oversee mailroom, copy center, or scanning facility operations, including office equipment usage.
  • Perform additional duties as needed, including:
    • Courier Services
    • Reception Services
    • Switchboard Operations
    • Shipping & Receiving
    • Delivery and Processing of Mail
  • Serve as the primary contact with customers, ensuring effective communication and customer service.
  • Implement and manage Ricoh Service Excellence Programs to maintain high service quality.
  • Operate equipment and software efficiently to meet service level agreements (SLAs).
  • Achieve profitability by managing company materials and supplies effectively.
  • Perform daily routine functions such as:
    • Creating and completing work orders
    • Contractor monitoring and inspections
    • Reporting facility-related issues
    • Providing support as needed
  • Collaborate with contracted vendors, facility management, and building occupants as necessary.
  • Oversee office supply inventory and reordering.
  • Manage conference room coordination and A/V equipment resources if required.
  • Maintain positive working relationships with all employees through professional communication.
  • Collect and report data to leadership and customers, including monthly reports with leadership support.
  • Ensure financial responsibilities are met.
  • Perform other duties as assigned.

Qualifications

  • Education:
    • High school diploma or GED required.
  • Experience:
    • At least 1 year of experience in a related field (B2B and/or technical).
    • At least 1 year of customer-facing work experience.
    • Demonstrated knowledge and understanding of technology.
  • Skills & Abilities:
    • Strong problem-solving and tactical thinking skills.
    • Ability to present information to small groups.
    • Basic customer service and technical aptitude.
    • Strong written and verbal communication skills.

Work Environment

  • Office setting with adequate lighting, ventilation, and normal temperature and noise levels.
  • Some physical effort required, including walking, standing, bending, reaching, and lifting up to 50 lbs.
  • Regular use of basic office equipment, such as calculators, keyboards, and hand tools.
