Job Description & Requirements

The Legal Senior On-Site Service Specialist plays a key role in providing top-tier operational support in a legal office environment. This role includes handling high-volume duplicating, production, sorting, and mailing tasks while maintaining high service standards. Responsibilities also extend to maintenance, troubleshooting, and reception services, ensuring smooth legal operations and supporting legal professionals such as attorneys, paralegals, and legal assistants.

Primary Responsibilities

Legal Environment Responsibilities:
  • Understand client matter workflows, including chargebacks for work, supplies, and labor.
  • Utilize legal technologies and software such as document management systems and cost recovery tools (e.g., Copitrak/Equitrac).
  • Manage legal records, closing binders, depositions, transcripts, and court filings.
  • Ensure proper document handling for court systems and coordinate deliveries to courts.
  • Assist with offsite trials by scheduling equipment, labor, and supplies.
General Responsibilities:
  • Operate high-volume 2D and 3D print and copy machines.
  • Troubleshoot equipment issues and escalate technical problems as needed.
  • Provide exceptional customer service by coordinating service calls and managing job requests.
  • Maintain inventory records, track billing logs, and calculate charges.
  • Distribute mail, packages, and office supplies while managing incoming faxes.
  • Deliver completed reproduction work and handle scanning, file conversion, encryption, and OCR (Optical Character Recognition) tasks.
  • Manage electronic file transfers (FTP) and create Table of Contents for legal documents.
  • Assist with conference room setups, facility moves, and light maintenance tasks.
  • Conduct daily equipment checks, maintain copier areas, and track service logs.
  • Perform shipping, receiving, and document filing tasks, including archiving legal records.
  • Support night and weekend emergency requests when necessary.

Required Experience

  • Minimum of 1 year of relevant work experience in a legal or office environment.
  • Proficiency in basic computer skills, including Microsoft Office Suite.

Required Education

  • High school diploma or GED required.

Skills & Abilities

  • Experience in copier operations and legal document processing preferred.
  • Familiarity with legal software and document management systems.
  • Ability to troubleshoot technical issues and resolve customer service inquiries.
  • Strong problem-solving and organizational skills.
  • Excellent written and verbal communication skills.
  • Ability to work independently and flexibly to complete assignments.

Work Environment

  • Frequent exposure to copier/fax machine noise, toner, and temperature changes.
  • Physical activity required, including standing, walking, bending, reaching, and lifting items up to 50 lbs.
  • Occasional exposure to various weather conditions when traveling between buildings.
  • High-pressure environment with tight deadlines and quick turnaround times.
  • Daily interaction with customers, managers, vendors, and legal professionals.
