Job Description & Requirements

This role provides direct, hands-on support within a legal office environment. Responsibilities include a variety of office support tasks such as copying, production, scanning, faxing, mail and shipping, records support, direct floor support, hospitality assistance, conference room setup and scheduling, receptionist backup, and light facilities support. A Senior Legal Onsite Service Specialist must possess high-level presentation skills, interpersonal etiquette, and customer service skills to effectively communicate with senior-level attorneys, partners, clients, opposing counsel, vendors, staff, and others. This position reports directly to a Site Manager, Site Supervisor, or Assistant Site Manager.

Primary Responsibilities

Legal Environment Responsibilities:

  • Understand client matter workflow, including chargebacks to the firm and/or clients for work, supplies, hours, etc.
  • Utilize legal technologies and software such as document management systems and cost recovery/chargeback systems (e.g., Copitrak/Equitrac).
  • Apply knowledge of legal records management processes.
  • Familiarity with legal documents and processes including closing binders, depositions, transcripts, briefs, addendums, filings, discovery, judgments, and court systems.
  • Assist with scheduling equipment, labor, and supplies for offsite trials.

Other Duties and Responsibilities:

  • Provide professional-level support to executive-level end users, including legal assistants, firm administration, project managers, paralegals, associates, and partners.
  • Accurately produce jobs and projects according to required deadlines, maintaining composure under pressure.
  • Operate high-volume copier equipment, fax services, postage meters, and personal computers.
  • Utilize equipment such as paper cutters, hole drillers, bindery equipment, joggers, tape machines, stackers, and electric staplers.
  • Handle time-sensitive and confidential documents.
  • Ensure quality and accuracy of reproduction, scanning, or project work.
  • Respond to customer inquiries, coordinating project timelines.
  • Provide embedded support to specific floors or integrated practice groups.
  • Coordinate offsite projects and maintain billing logs.
  • Distribute incoming mail, packages, office supplies, and fax transmissions.
  • Perform filing, purging, and archiving tasks.
  • Execute scanning, file conversion, file naming, and encryption.
  • Perform file management tasks such as OCR, FTP, and TOC creation.
  • Perform daily quality checks and minor maintenance on copier equipment.
  • Stock and organize convenience copier areas.
  • Assist with conference room setups and light maintenance duties.
  • May require occasional overtime, including nights, weekends, and emergency situations.
  • Perform additional duties as assigned.

Required Experience

  • 1-2 years of related work experience required.
  • Minimum of 2 years' experience in the legal industry preferred.

Required Education

  • High school diploma or GED required.

Work Environment

  • Frequent exposure to copier/fax machine noise, toner, and temperature changes; potential for paper cuts and minor physical effort.
  • Occasional exposure to various weather conditions when moving between buildings.
  • Daily contact with customers, employees, managers, and dispatch; occasional contact with vendors and repair personnel.
  • High-stress environment due to tight deadlines and fast-paced turnaround requirements.
  • Physical activities including standing, walking, bending, reaching, and lifting items up to 50 lbs.; moving equipment on wheels up to 400 lbs.
