Job Description & Requirements

Supervises day-to-day operations for a 1-to-5-person on-site services team inside a law-firm environment. Acts as working supervisor—overseeing copy/print production, records, hospitality, receptionist backup, facilities support, billing, and inventory—while ensuring service excellence, staff development, compliance, and client satisfaction.

Primary Responsibilities

  • Direct, train, and coach site staff; serve as point person for client issues and workflow improvements.

  • Manage copy/print/scan, mail & shipping, conference-room setup, hospitality, reception backup, facilities tasks, and inventory control.

  • Maintain legal workflow knowledge (chargebacks, cost-recovery systems, records processes, court-document handling).

  • Monitor labor, supplies, and materials to meet profitability targets; prepare invoices and month-end/financial reports.

  • Enforce Ricoh Service Excellence standards, quality controls, and deadline compliance; post productivity and quality results.

  • Handle confidential, time-sensitive documents; ensure accurate billing, payroll, and performance reviews.

  • Resolve pricing, order, and invoicing issues; identify additional service offerings to enhance customer workflow.

  • Complete site reports and other documentation accurately and on schedule; perform other duties as assigned.

Required Experience

  • 2+ years of related supervisory or site-services experience (legal industry experience preferred).

  • Background with various legal departments (criminal, civil, corporate, real estate, IP, etc.) and legal software (document management, cost-recovery systems).

  • Proficiency in MS Word, Excel, PowerPoint, Adobe PDF; ability to operate advanced office equipment and deliver training.

Required Education

  • High-school diploma or GED required; college coursework/degree preferred.

Work Environment

  • Professional office setting with normal lighting, ventilation, temperature, and noise.

  • Primarily sedentary but includes occasional walking, standing, bending, reaching, and lifting/carrying up to 50 lbs.

  • Regular use of calculators, keyboards, and other office tools; must interpret and apply complex information.
