Job Description & Requirements
The Legal Senior On‑Site Service Specialist runs high‑volume copy, scanning, mail, and records operations for a law‑firm client. The role handles sensitive legal documents, ensures accurate charge‑backs and billing, keeps equipment running, and provides executive‑level support under tight deadlines.
Primary Responsibilities

Operate high‑volume copiers, scanners, finishing, and mail‑processing equipment.

Perform OCR, file conversion, encryption, FTP transfers, and electronic TOC management.

Handle confidential legal documents; coordinate court‑document delivery and off‑site trial needs.

Maintain charge‑back, cost‑recovery, meter, and billing logs; calculate service charges.

Distribute mail, packages, fax transmissions, office supplies, and completed jobs across firm locations.

Troubleshoot equipment, clear jams, and request service; keep copier areas neat and stocked.

Manage records archiving, shipping/receiving, conference‑room scheduling, and occasional reception coverage.

Provide professional support to attorneys, paralegals, project managers, and partners.

Meet strict quality and deadline standards; uphold safety protocols and legal‑office procedures.

Perform other bindery, QC, housekeeping, and file‑services tasks as needed.
Required Experience
-
High‑volume copy/production or office‑services background; 1 + year in a legal environment strongly preferred.

Proven customer‑service skills and ability to interact with executive‑level users.

Competence with MS Office; technical aptitude with copiers, scanners, postage machines, and related tools.
Required Education

High‑school diploma or GED (completion of Ricoh Legal training required within 90 days of hire).
Work Environment

Law‑firm office setting with copier noise, toner exposure, and variable temperatures.

Regular standing, walking, bending, and lifting up to 50 lbs; pushing/pulling wheeled devices up to 400 lbs.

Fast‑paced, deadline‑driven atmosphere; occasional travel between buildings.
