Join our dynamic team as a Mail and Print Specialist where you will play a pivotal role in transforming our clients' experience through top-notch operations support in a legal office environment. You will engage with cutting-edge technology in high-volume duplicating, production, sorting, and mailing tasks, ensuring seamless operations and client satisfaction. Whether it's performing maintenance, troubleshooting, or providing reception services, you will be the heart of our service delivery.
Primary Responsibilities
Legal Environment Responsibilities:

Understand client matter workflow, including charge backs for work, supplies, and hours.

Utilize legal technologies and software (e.g., document management systems, Copitrak/Equitrac).

Handle legal records and documents including closing binders, depositions, transcripts, filings, and judgments.

Deliver items/documents within the court system appropriately.

Assist in scheduling for offsite trials including equipment, labor, and supplies.
General Responsibilities:

Operate high-volume 2D/3D print and copy machines.

Troubleshoot equipment and escalate technical issues as needed.

Provide customer service, coordinate service calls, and manage job requests.

Maintain accurate records and manage inventory.

Support team operations, including meeting room setups and reception duties.

Handle confidential, time-sensitive documents.

Provide support to executive-level legal staff.

Manage billing logs and calculate service charges.
-
Distribute mail, packages, supplies, and completed print work (may involve travel between offices).

Perform shipping/receiving duties and file management.
-
Execute scanning, file conversion, FTP transfers, OCR, and file formatting.

Conduct quality checks and troubleshoot copier errors.

Maintain service logs, stock copier areas, and manage meeting room logistics.

Assist with moves and perform occasional cleaning tasks.

May require periodic overtime, including emergency off-hour responses.
Required Experience
-
Minimum one year of relevant work experience.
Required Education
-
High school diploma or GED.
Work Environment
-
Frequent exposure to copier/fax machine noise, toner, and variable room temperatures.
-
Exposure to weather conditions while walking between buildings.
-
High-stress due to tight deadlines and fast turnaround.
-
Physical effort required: standing, walking, bending, lifting up to 50 lbs., pushing/pulling machines up to 400 lbs.

Frequent interaction with customers, employees, managers; occasional interaction with vendors.
