Specialist I, RFS Asset Management

Position Profile

The position involves the data analysis for revenue impacted projects, collaborating with, third-party leasing companies, warehouses, and logistics providers. It ensures accurate equipment return information, provides customer service, and supports strategic and operational projects impacting leasing and asset management.

Job Duties and Responsibilities

  • Serve as coordinator among Ricoh, dealer partners, third-party logistics/warehouses, and leasing companies to resolve customer return issues; 
  • Review/audit and track Return Material Authorizations (RMAs), customer paperwork, lease agreements, and associated documents when necessary to resolve customer billing or return issues.
  • Reconciles and resolves the return asset activities for the Terminated Not Returned (TNR) and Returned Not Terminated (RNT) and Non-Renewal reports and provide status updates and monthly reporting to leadership and accounting.
  • Supports FSB management; interact with field, RFS, and third-party leasing companies; works with Customer Administration or sales to resolve customer issues; offering guidance and solutions
  • Assist with long-term/one-time projects; develop/maintain/communicate leasing policies and procedures
  • Builds relationships with Internal departmental leads to effectively perform the activities of this role.
  • Provide timely follow-up with internal and external customers in accordance with established metrics, process, and policy.
  • Perform activities in Oracle/OLFM and support IT testing as needed.
  • Serve as escalation point for leasing company concerns, including settlements, unreturned equipment, and program compliance.
  • Provide logistical support for asset returns and ensure synchronization of records with leasing partners.
  • Respond to sales inquiries and resolve cross-functional issues.
  • Facilitate conference calls to address customer billing and equipment return concerns, which may include creating Service Request (SR) to bring to resolution.
  • Communicates root causes of issues to management for corrective action and take independent action to correct issues.
  • Assist with long-term/one-time projects; develop/maintain/communicate leasing policies and procedures
  • Perform other duties as assigned.

Qualifications (Education, Experience, and Certifications)

  • High school diploma or equivalent required; 
  • 3–7 years of experience in business processes, equipment leasing, finance, accounting, logistics, or customer service.
  • Strong technical aptitude and industry experience preferred.
  • Advanced Microsoft Excel skills (pivot tables, formulas, database handling); proficiency in other Microsoft Office tools (Word, PowerPoint, Access, Visio).
  • Oracle experience preferred.
  • Demonstrated ability to multi-task, meet deadlines, and manage projects effectively.

Knowledge, Skills, and Abilities

  • Excellent verbal and written communication skills.
  • Ability to work within a team and cross-functionally across departments.
  • Knowledge of leasing principles and basic accounting concepts (e.g., revenue recognition).
  • Excellent organizational, analytical, and problem-solving skills.
  • Ability to manage multiple tasks projects and tasks simultaneously.
  • Systems knowledge (OLFM, Oracle) preferred.
  • Full understanding of leasing and lessor relationships

  • Customer service orientation and professionalism

Working Conditions, Mental and Physical Demands

  • Primarily office environment with adequate lighting, ventilation, and normal temperature/noise levels.
  • Work is mostly sedentary but may require walking, standing, bending, reaching, and lifting/carrying objects under 10 lbs.
  • Requires moderate dexterity (keyboard, calculator, hand tools).
  • Frequent deadlines and work volume may impose routine strain.
  • Willingness to work after hours as necessary.
