Senior Associate, Facilities Services

POSITION PROFILE

Responsible for assisting in the daily management of assigned facility. The Corporate Facility Services Specialist will perform weekly inspections of building, minor maintenance, move furniture and boxes, conference room presentation set ups.  The Specialist must be customer service driven, with a keen eye for detail

  Job Duties and Responsibilities

Conference Room Set-Ups

  • Set up tables, chairs and audiovisual equipment in conference rooms as defined per calendared meetings.  Utilize procedures and guidelines as directed by Site Manager..  
  • Collect and discard/recycle items left from previous meetings such as papers, water bottles, etc.
  • Understand and follow the conference room presentation standards as outlined in the set-up guide.
  • Identify and report problems with A/V equipment, including telephones and conference phones
  • Deliver and pick up equipment throughout the campus.  When placing equipment in a room, ensure equipment is functioning, focused, and ready to use by customer.
  •  Educate business partners and staff in the use of built-in audiovisual equipment and assist in the operation of equipment during meetings as needed.
  • Respond to radio communication from Coordinator and/or Supervisor to assist with A/V and room setup changes.
  • Confirm the completion of any set-up changes throughout the day with Coordinator.

Operations Service requests

  • Complete assigned service requests, including, but not limited to:

·         delivery of keys

·         move boxes within campus

·         relocate furniture

·         movement of grids

·         build rolling/bakers racks, body forms, small store fixtures

  •  Complete service requests, inventory, review and prioritize tasks to be completed
  •  Coordinate deliveries between vendors, charity pick-ups, and customers while following all applicable building access guidelines.  .
  • Perform weekly building inspections as defined by the building inspection checklist.
  •   Keep all storage closets organized at all times.
  •   Responsible for ensuring that the rain mats are put down and taken up, as weather dictates. 

Inter-Office Moves

·         Deliver moving boxes and labels as directed by Move Services and/or Coordinators.

·         Assist moves vendors with relocation of computer equipments and boxes.    

·         Regular sweeps of areas following a move to collect empty boxes. 

·         Perfoms other duties as assigned

 

QUALIFICATIONS (Education, Experience, and Certifications)

·         High School Diploma or equivalent is required

·         Valid Drivers' License required

·         Ability to walk, stand, kneel, and carry objects up to 50 lbs

KNOWLEDGE, Skills And Abilities

·         Excellent customer service skills.

·         Ability to be flexible and to be a team-member is a must.

·         Ability to understand and follow written and verbal communication and instructions.

·         Ability to work independently on multiple projects involving different customer groups.

·         Ability to work as a team member in balancing workloads and pending tasks that need to be completed within a given timeline. 

·         PC Literate

·         Basic office skills, creating reports, filling out forms, tracking invoices/work orders etc

 

Working Conditions, MENTAL aND PHYSICAL DEMANDS

·         Office environment with adequate lighting and ventilation, normal range of temperature and noise levels

·         Work assignments vary and may include work in warehouses (forklift) or outside work.

·         Physical effort is required.

·         Work requires walking, standing, bending, reaching, lifting or carrying objects that typically weigh up to 50lbs.
